Job Role:

For our Singapore business unit, we are looking for an experienced and well-organised Sales Coordinator to provide the necessary support to the sales team. The successful candidate will become the point of reference for colleagues and customers, by keeping schedules and providing feedback, documentation and information, inputting orders into D365, ensuring they are processed according to customer requirements, and ensuring all orders are accurate and delivered on time.

The goal is to facilitate the team’s activities, contribute to overall customer satisfaction promptly so as to maximise the solid and long-lasting development of the company.

Key responsibilities:

  • Accountable for identifying tenders, completing tender documentation & compliance with terms & conditions of tenders
  • Respond and log all queries and calls
  • Preparing Sales, Rental & Service/Repair quotations
  • Attending all queries of clients regarding quotations, tenders & invoices
  • Confirm and transfer to Project / Job Order for Rental and Sales Order for all confirmed quotations
  • Create a purchase order for purchasing, logistics, repair, maintenance, calibration and etc
  • Coordinate/arrange shipment and facilitate with Logistics/Inventory department to ensure proper mobilisation/deliveries of the equipment
  • Communicating PO acknowledgment to customer
  • Fill-up and submit Pre-Qualification documents
  • Preparing job files with all communications and documents
  • Creating an invoice for Rental Job & submitting files to account department for posting the invoice
  • Continuous follow-up with prospect/enquiry for converting it into order
  • Receivables follow-up with customers on regular basis & submission of the monthly report on payment collection
  • Raise credit note requests, product creation requests, new prospects in D365
  • Work with direct supervisor on achieving goals and sales quotas on a monthly, quarterly, and yearly basis
  • Perform any additional work assigned by the line manager


Requirements and skills

  • A bachelor's degree in business administration or a related field, certification in sales or marketing will be an asset
  • Proven experience in sales; experience as a sales coordinator or in other administrative positions will be considered a plus
  • Excellent verbal and written communication skills
  • The ability to multitask, work in a fast-paced environment, and meet deadlines
  • Well-organised and responsible with an aptitude in problem-solving
  • Computer literacy (MS Office/D365)
  • A team player with a high level of dedication
